Last updated: April 2026. This policy describes how Kayaan, Inc. collects, uses, stores, and shares information when you use our website and platform.
1. Information we collect
We collect information you provide directly (name, work email, company, phone when you request a demo), information from your use of the platform (load data, carrier interactions, TMS metadata routed through Kayaan for processing), and standard technical information (IP address, user agent, referring URL) for security and analytics.
2. How we use information
- Operate, maintain, and improve the Kayaan platform and website
- Respond to demo requests and communicate about the product
- Detect and prevent freight fraud, double brokering, and abuse
- Comply with legal obligations and industry regulations (FMCSA, DOT)
3. Data sharing
We do not sell personal data. We share data only with (a) sub-processors required to operate the platform (cloud infrastructure, email delivery, carrier identity APIs), (b) authorities when legally required, and (c) parties you explicitly instruct us to share with (your TMS, your customers, your carriers).
4. Data retention
We retain customer data for the duration of the service agreement plus a reasonable period thereafter, unless a longer retention is required for legal, accounting, or regulatory reasons.
5. Security
We encrypt data in transit (TLS 1.2+) and at rest. Access is role-based and audit-logged. Details are available in our security overview.
6. Your rights
Depending on your jurisdiction, you may have rights to access, correct, delete, or port your personal data. To exercise these rights, email support@kayaan.ai.
